Student Handbook
This handbook applies to all students, parents, and guardians who use the Auntysue Tutorial Center portal. By registering an account you agree to the policies described here.
1. About Auntysue Tutorial Center
Auntysue Tutorial Center is a registered Cambridge International examination centre in Namibia, offering tuition and examination support for students at IGCSE, AS Level, and A Level. Our portal provides students, teachers, and parents with digital access to academic records, assignments, timetables, and learning materials.
2. Academic Structure
Academic Year
The academic year runs from January to December and is divided into three terms:
- Term 1 — January to April
- Term 2 — May to August
- Term 3 — September to December
Grade Levels
- Grade 7, 8, 9 — Foundation years preparing students for Cambridge examinations
- IGCSE Year 1 & 2 — Cambridge International General Certificate of Secondary Education (Grades 10–11)
- AS / A Level — Cambridge Advanced Subsidiary and Advanced Level (Grade 12+)
Cambridge Grading Scale
All subjects are assessed on the Cambridge International grading scale:
- A* — Outstanding (90–100%)
- A — Excellent (80–89%)
- B — Good (70–79%)
- C — Satisfactory (60–69%)
- D — Limited (50–59%)
- E — Very Limited (40–49%)
- U — Ungraded (below 40%)
3. Portal Usage
Account Responsibilities
- Each student, teacher, and parent must maintain their own individual account. Account sharing is not permitted.
- You are responsible for keeping your login credentials secure. Do not share your password with anyone.
- Report any unauthorised access to your account to admin immediately.
- New accounts must be verified via the email link sent at registration before access is granted.
Acceptable Use
The portal may only be used for legitimate educational purposes. You must not:
- Attempt to access accounts or data that do not belong to you
- Upload or submit content that is offensive, illegal, or violates the rights of others
- Use the portal to distribute spam, malware, or unauthorised advertising
- Misrepresent your identity or academic work
4. Attendance Policy
Regular attendance is essential for academic success.
- Teachers record attendance daily. Attendance is visible to students and parents through the portal in real time.
- A student with attendance below 80% in any term may be referred to a parent-teacher consultation.
- Absence due to illness must be supported by a medical note submitted to admin within 3 school days.
- Planned absences (family travel, events) must be requested in writing at least 5 school days in advance.
- Attendance status values: Present, Absent, Late, Excused.
5. Assignments & Homework
- All assignments are posted through the portal with a clear due date and maximum marks.
- Submissions are accepted as file uploads (PDF, Word, images) or typed text responses.
- Late submissions are accepted but are flagged and may receive a marking penalty at the teacher's discretion.
- Students must submit their own original work. Plagiarism or copying of another student's work is a serious academic offence.
- Teachers aim to mark and return feedback within 7 school days of the due date.
6. Grading & Report Cards
- Continuous Assessment (CA) marks are entered by teachers throughout the term and are visible to students and parents in real time.
- End-of-term report cards are generated by admin and include CA marks, examination marks, overall percentage, Cambridge grade, teacher remarks, and a principal's comment.
- Report cards are only visible to students and parents after they have been formally published by admin.
- Students and parents will receive a notification when report cards are published.
7. Communication
- All official school communications are posted through the Announcements section of the portal.
- Announcements may be addressed to all users, a specific role (students, teachers, or parents), or a specific class.
- The portal does not support direct messaging between users. For direct enquiries, please contact the school office.
- Urgent matters should be communicated by phone or in person at the school.
8. E-Learning
- Teachers may upload lessons, notes, PDF resources, and video links for each subject.
- Students are expected to complete all assigned lessons and quizzes within the timeframes set by their teachers.
- Progress through lessons and quiz scores are visible to teachers and parents.
9. Code of Conduct
All users of the portal are expected to conduct themselves with respect and integrity. This includes:
- Treating all members of the school community with respect in all communications
- Reporting any concerns about content, behaviour, or safety to admin immediately
- Maintaining honesty and integrity in all academic work submitted through the portal
10. Consequences of Misuse
Violations of this handbook may result in:
- Temporary or permanent suspension of portal access
- Notification of parents or guardians
- Academic penalties for integrity violations
- Referral to the school disciplinary process
11. Amendments
Auntysue Tutorial Center reserves the right to amend this handbook at any time. Registered users will be notified of significant changes via a portal announcement. Continued use of the portal after changes are posted constitutes acceptance of the updated terms.
